Current opportunity: Administrative Assistant (Temporary) Part-Time 30hrs./week

External for the General Public/Part-Time-Temporary position

This position performs advanced administrative support and technical program assistance for the Open Records Office of the General Counsel/Chief Clerk Division. The Open Records Office ensures that requests made through the Public Information Act, and associated billing and refunds, are reviewed and routed timely and accurately in accordance with the act. This temporary position will end on or before August 31, 2018.

The Administrative Assistant:

  • performs repetitive data entry, editing, and verification of data files;
  • maintains and transcribes data files to acceptable formats;
  • prepares billing and refund correspondence;
  • assists with compiling and analyzing data, making calculations, and preparing reports;
  • assists with the organization, analysis, and preparation of materials;
  • develops administrative and technical policies and procedures;
  • assists with researching technical issues;
  • disseminates information in response to requests from staff and the public;
  • tracks, maintains, and scans documents;
  • maintains electronic and paper records according to the State of Texas retention schedule;
  • provides support and collaborates with the planning, development, and implementation of systems, processes, and databases;
  • may provide assistance answering and routing phone calls, mailing documents, taking messages, greeting and directing visitors to the appropriate staff; and
  • performs other duties as assigned


Graduation from high school or equivalent. College hours in course work relevant to required experience may be substituted for experience on a year-for-year basis.

Additionally, this position requires:

  • two years of experience in a technical and administrative work environment.

Preferences for this position include:

  • experience entering information and running searches on databases;
  • data entry, technical support, or editing experience;
  • coordinating open records requests at a state agency; and/or
  • an advanced degree.

This position requires demonstrated knowledge of:

  • the Public Information and Administrative Procedures Act, or the ability to learn the Code and Act;
  • research methods and techniques;
  • business or program terminology, spelling, punctuation, grammar, typing formats, and word processing techniques, software, and procedures; and
  • administrative and office procedures telephone and email etiquette, and internal communication strategies.

This position requires demonstrated skill in:

  • proof reading and editing text within strict timelines;
  • problem solving, decision making and planning;
  • using personal computers sufficient to enter and extract data from related systems and programs; and
  • using Microsoft Office software applications, including Word, Excel, Access, PowerPoint, and Outlook.

This position requires the demonstrated ability to:

  • make decisions in accordance with rules and procedures;
  • apply critical thinking to evaluate, analyze and interpret information;
  • prepare and maintain complex records and files;
  • work independently;
  • communicate professionally and effectively, both verbally and in writing, with all levels of employees and the general public;
  • organize and manage multiple competing priorities; and
  • maintain the confidentiality of sensitive information.
